Information is used to review the request, identify the likely custodian, determine requirements, communicate with you and coordinate permitted retrieval and delivery after acceptance. Required information may be provided to the relevant custodian or a service provider involved in the authorized request.

Storage and access

The website stores request details and supporting files in encrypted form outside its public document directory. Staff access requires a sign-in code sent to the configured business mailbox. Access to the hosting account and backups is also controlled by the hosting provider. No system can guarantee absolute security.

Email notifications

Notifications contain the request number, record type, date and basic operational details. Identity documents, uploaded files and sensitive record details are not attached to emails. Contact details are included in the internal notification so staff can respond. Email providers process messages to deliver them.

Payment information

This request form does not collect payment. Do not enter payment-card information.

Technical information and cookies

Essential session cookies support form security, duplicate-submission protection and staff sign-in. The host may process access logs, including IP addresses and browser information. The application uses keyed hashes for rate limiting. No advertising or analytics tracking is added by this form system.

Retention and requests

Information is retained to handle the request and related operational or applicable recordkeeping needs. Contact us to ask about access, correction or deletion. Whether information can be deleted may depend on the request’s status and applicable obligations. Do not send identity documents with an initial privacy inquiry.
